Membership Assistant

Summary:
The Membership Coordinator assists with the membership program at KUNC and The Colorado Sound and provides excellent customer service support to over 16,000 members. This position assists in developing and implementing processes to continue to serve and grow the membership program.  

Essential Functions:
  • Sends all membership renewals, anniversary cards, additional solicitations, acknowledgements, and other related components of the direct mail program at KUNC & The Colorado Sound. 
  • Serves as the primary contact for members to update payment information, update personal information, adjust gift amounts, and answer general questions with support from the Membership Manager.
  • Provides excellent customer service to members.
  • Responds to member calls and emails and promptly solves problems. 
  • Processes sustaining and one-time gifts in Raisers Edge and commit gifts into Raisers Edge daily. 
  • Processes all changes of payment and addresses for members.
  • Manages the EFT and Credit Card decline process, including generating and sending email notifications, text messages, and follow-up calls.
  • Implements strategies developed by the Membership Manager to retain monthly donors and convert donors from Credit Card to ACH.
  • Understands the mission of KUNC and The Colorado Sound and can articulate that mission to donors and the public.
  • Maintains the database hygiene in both stations fundraising CRMs, specifically, Raiser’s Edge and other related CRM plugins.
  • Supports the membership team during on-air fundraising drives.
Specific Duties:
  • Coordinates donor acknowledgements and other mailings.
  • Prints weekly and monthly donor acknowledgement letters for donors, vehicle donations and matching gift donations.
  • Corrects or adds codes to donor records for acknowledgement letter generation. 
  • Prepares data worksheets containing Leadership Circle acknowledgement recipients for Relationship Manager.
  • Prepares monthly renewal ask letters for membership and add gift and lapsed donor asks letters as needed.
  • Provides data to Relationship Manager for Leadership Circle monthly ask letters.
  • Provides requested data in Major Giving levels about $10,000 to the Major Giving Officer and/or President & CEO.
  • Prepares end-of-month slips for donors with lapsed sustainer giving, expired credit cards and EFT failures.
  • Sends quarterly anniversary cards to donors.
  • Maintains acknowledgement templates, anniversary documents and renewal ask letters.
  • Processes matching gift and payroll deductions.
  • Maintains matching gift donor and employee relationship records in Raiser’s Edge.
  • Maintains a login worksheet of the various matching gift companies (currently at 111 companies).
  • Verifies donor gifts with matching gift companies.
  • Batches the matching gift from the correct company and links to the correct employee.
  • Batches payroll deductions each month from Benevity and Colorado Gives Day.
  • Balances matching gift and payroll gifts against monthly bank statements.
  • Stewardship Processes.
  • Raiser’s Edge Maintenance.
  • Merge duplicate donor records.
  • Monitor automatic address updates.
  • Update donor records as needed, e.g. miscellaneous address changes.
  • Terminate inactive sustaining gifts.
  • Update and create queries and exports as needed.
Additional Responsibilities
  • Attend public media webinars and conferences and learns from colleagues within KUNC & The Colorado Sound and from other public radio and tv stations.
  • Assist with station events, including event registration, set-up, and other event-related tasks as needed.
  • Perform other duties, as assigned.
Knowledge, Skills, & Abilities:

Knowledge:
  • A curious mind and natural desire to try new things, make changes when necessary, and find new ways to streamline and strengthen existing processes. 
  • Continue education and obtain knowledge regarding public media.
  • Understanding and usage of best practices for public media and non-profit fundraising.
  • Experience with donor CRMs, preferably Blackbaud’s Raiser’s Edge. 
Skills:
  • Operate a personal computer with proficient skills in Microsoft Suite, such as Excel, Outlook, Word, etc.
  • Project management experience.
  • Excellent customer service skills. 
  • Able to prioritize multiple deadlines and project assignments without minimizing quality and accuracy.
  • Very high attention to detail.
  • Excellent communication skills both orally and in writing utilizing proper grammar. 
  • Demonstrated commitment to the professional standards and ethics of fundraising in accordance with the Association of Fundraising Professionals Code of Ethics, as well as an ability to uphold the professional standards of confidentiality and workplace ethics that are essential to work in a public media organization.

  • Ability to work additional hours if needed during membership drives.

Experience & Qualifications
  • Bachelor’s degree in a relevant field is preferred. 
  • Minimum of one (1) year of experience using the Blackbaud Raiser’s Edge NXT CRM. 
  • Proficiency in report building and query development in this specific CRM is preferred.
  • Previous project management experience is preferred. 
  • Valid Colorado driver’s license and residency within the KUNC & The Colorado Sound’s listening area.  
  • Bilingual in Spanish is a plus. 
  • Or an equivalent combination of skills and experience may be considered. 
Physical Demands & Work Environment:
This position involves a combination of office-based work with prolonged periods of sitting at a desk and working on a computer, and possible external event sites. 
  • Frequently required to stand, walk, sit, and reach with hands and arms.
  • Frequently required to hear on phone calls and video meetings. 
  • Frequent external community engagement/promotional work at various locations within our broadcast service areas. 
  • The employee may need to lift up to 30 pounds. Reasonable accommodations will be made as needed.
